How long would it take to assign me an assistant?

It will take 1 business day to assign you a suitable assistant after you complete the Sign-Up process.

What is the process of assigning an assistant? Will I get a chance to select my assistant?

We will send your details to the team leads and then team leads will match your requirements with the qualified assistant who can perform your tasks most efficiently. Once the team leads confirm about the assistant who well-suited for your requirement, we will send you the introduction email with your virtual personal assistant’s details. If you like, you can also interview the assistant before assigning your tasks to that virtual PA.

Whom do I interact with every time? Will it be the same person or different persons?

You will have a single point of contact. Your assistant will coordinate with different assistants to complete your task in time and contact you for all the task-related work. However, there might be some occurrences where your primary assistant is not available due to some personal reason, for that we will provide you back-up who will take care of tasks to cover up your assistant’s absence.

 Can I change my assistant in the middle? How does the process work?

Yes, you can easily change your assistant. Just drop a mail to support@agileoutsource.com with the relevant subject and reason. We will take care of all your requests immediately.

Can my assistant assist me in languages other than English?

Unfortunately no, all your assistants are well versed in the English language but to help you in any other language apart from English would be very difficult for the assistant.

How do I get started with the services?

Once your requirements are discussed and you approve of our proposal you can register to for our services. Our sales team will assist you till you get a suitable assistant with a proper backup team.

Can I try your services before finalizing?

Yes, you can definitely try our service before taking up a monthly subscription plan. For the same, we have the Task-Based Plan (TBP) /Ad-Hoc Project wherein you can purchase a small block of hours (ex: 2 or 3) at a specified rate. Upon completion of the purchased hours and you are happy with the service you can choose to go for a monthly subscription plan based on the volume of projects.

What are the qualifications of the virtual assistants?

All our assistants are graduates. Experience, skilled and Most of the assistants in Small Business are well trained.

 Can I interview my Virtual Assistant?

Yes, you can interview assistants. Once our operations department and sales department finalize assistants for your business you will be intimated about it. We will send you the assistant’s profile. Then with your appointment, we will schedule the interviews.

What is the escalation hierarchy?

We try our best to provide top notch services. However there might be some rare occasions where the work done by us will not satisfy your expectations. In such cases, you can escalate the issue to our quality team at support@agileoutsource.com.

How do you ensure the quality of the work performed by the assistant?

To maintain the highest levels of quality, we have an internal quality team. This team is specifically set up for ensuring the quality of the work done by the assistant. They examine the work done by the assistant threadbare and ensure that we meet stringent quality measures. They assist in the following:

  • Monitoring the work is done by the assistant
  • Providing feedback to assistant
  • Communicating with clients to solve grey areas, if any

What are the security measures employed to protect my data?

We employ stringent measures to protect your data. We do not sell your personal information to any third party marketers. Hence you can be assured about the safety of your personal information. At no point will we ask your social security number for signing up for our services. If anyone from Agile Outsource asks for this information, you can surely bring it to our notice. We use 128 bit SSL encryption to secure your transactions online. Apart from the aforementioned measures, we also have the following measures:

  • Password protected servers with limited access
  • Background checks before hiring the assistants
  • Non-disclosure and confidentiality agreements
  • Screening of employees

Do I need to provide my credit card details to sign-up?

Yes, you need to provide your credit card details during the sign up process because we work on a Pre-paid model. The invoice is generated at the start of every month and the card is charged accordingly.

What is my billing cycle? When do I receive my invoices?

Your billing cycle would be from the 1st of the month till the last day of that month. You can also purchase additional hours every month based on your estimated usage. Hence you will receive an invoice at the end of every week / month. For the joining month, you will be charged on a pro-rata basis.

How will I make payment? What are the different modes of payment?

We currently have only the credit card payment option for monthly subscription plans. You can enter the card details during sign up. However, if you have only one task or project to be completed, we can send you a PayPal invoice through which you can pay in advance for your task based project.

If I hire more than one assistant, how does my pricing work?

As per our existing procedure, you will be assigned one assistant once you sign up. However, if you need more than one assistant, we will customize our plans for you. Hence please do send an email to us at support@agileoutsource.com. We will then touch base with you in this regard.

Do you charge me to train my assistant?

We do understand that the assistant needs to be equipped in certain aspects/processes of your business. Hence we do not charge you for most of the cases. But if you wish to train the assistant for more than 1 hour, we will charge you.

What is the procedure to cancel/change my plan?

Any plan change request (upgrade/downgrade/cancel) comes with a 15 days notice period. You can request for this plan change through the online portal or can drop an email to Ana@agileoutsource.com or support@agileoutsource.com. and the request will be taken care of. Please use the registered email address as it would help us in identifying your account details with us. In case you are sending this request from a different email, then please do mention Your Name & Your Assistant’s Name so that it helps in taking quicker actions.

Do you provide a free trial on your services?

We believe that it would be impossible to assess the effectiveness of any service in a very short duration of time. Hence we do not provide a free trial on our services right now. Although, you can purchase a few blocks of hours as an ‘Ad hoc/ Task-based project plan’ and check the service deliverables.

Do I get a dedicated assistant?

With over a decade in the industry, we’ve pioneered and perfected the one to one dedicated assistant model. You’ll have the opportunity to interview your Dedicated Assistant (DA) and switch as your needs change.

What tasks can you do?

Our DAs focus primarily on three categories of support. The front end, back end and personal. The front end includes scheduling, calendaring, receptionist, and coordination support(appointment setter),Tele sales, telemarketers and cold callers. Back end includes data entry, processes, organization, proofreading, and more. Personal of course is travel, family, home, and more.

What work can’t you do?

There are primarily four things that we cannot provide our clients: anything requiring a professional license, running physical errands, providing artistic, design or creative work, and finally any sort of impersonation, such as outbound sales calls.

What are hours?

Every plan we offer includes a certain amount of time that your DA will work on your account. Every 30 days, that time in hours, is replenished. Any unused time will roll over for 30 days. You can add time a la carte at anytime. You can also upgrade at anytime. Downgrades take place at the next renewal.

How about security?

We do an NDA with every customer before we start project.

How can I track time?

Once you sign up, you’ll have access to your Dashboard. You can view all time deductions, trends, and generate reports. You can also submit tasks inside of Dashboard and build out numerous preferences. From a window to an aisle seat, or texting versus calls, customize your experience.
